Signs it's time to switch IT providers

Slow responses, surprise invoices and missing security basics, and how to switch without downtime.

Most businesses don't switch IT providers because of one bad day. It's the slow buildup: requests that sit for days, invoices that keep climbing, and a nagging feeling that nobody is really watching your systems.

If that sounds familiar, here are the signs it may be time for a change, and how to make the switch without disrupting your business.

Signs it's time to switch

You wait too long for help. Your team submits a ticket and hears nothing. Urgent problems wait in the same line as minor ones. People start fixing things themselves or just living with them.

The invoices keep surprising you. Every month is different, and you can't tell what you're paying for. Small requests turn into billable projects.

Security basics are missing. Ask your provider these questions. If the answers are vague, that's a problem:

  • Is multi-factor authentication turned on for email and remote access?
  • Are our backups tested, and when was the last test restore?
  • Are all of our computers getting security updates?
  • Is anyone monitoring our systems at night and on weekends?

The same problems keep coming back. Things get patched over instead of fixed.

You don't have your own passwords. Your provider holds all the admin accounts and documentation, and you'd be stuck without them.

Everything comes wrapped in jargon. You can't get a straight answer about cost, risk or what happens next.

There's no plan. Nobody has talked to you about replacing aging equipment or budgeting for next year.

You couldn't answer an auditor or insurer. A cyber insurance questionnaire or an exam asked questions your provider couldn't help with.

You've outgrown them. The one-person shop that was great when you had five employees can't keep up with twenty.

How to switch without downtime

Changing IT providers sounds risky, but with a little planning it's routine. Here's the order that keeps things smooth.

1. Check your current contract. Look for the notice period and any termination terms, so you know your timeline.

2. Choose your new provider first. Don't give notice until the new team is ready to start. Ideally, the two overlap for a short period.

3. Get your admin access and documentation. This is the most important step. Make sure your business has control of:

  • Your Microsoft 365 or Google Workspace administrator accounts
  • Your domain name registration and DNS
  • Your firewall, Wi-Fi and network equipment
  • Your backup system
  • Any line-of-business software admin accounts
  • A list of your devices, licenses and vendors

These accounts should belong to your business, even if your provider has been managing them. If any are registered in your provider's name, ask to have them transferred to you.

4. Let the new provider review everything. A good onboarding starts with a look at what you have: computers, network, accounts, security and backups. That usually turns up a few issues worth fixing early.

5. Install the new tools before removing the old ones. Monitoring and security software should be in place before the old provider's tools come off, so there's no gap in protection.

6. Change passwords and remove old access. Once the handoff is done, update admin passwords and remove the old provider's accounts and remote access tools.

7. Confirm backups are working. Make sure the new backup setup is running and a test restore succeeds.

8. Tell your team how to get help. A short email with the new phone number and what to expect makes the first week easier.

What to look for in a new provider

  • You can call and talk to a person, without fighting a ticket portal
  • Security is included, not sold as an extra
  • Pricing is clear and published, with no long contract
  • They explain things in plain English
  • They can be on-site when you need them
  • They understand your industry's audit and insurance requirements

How we make the switch

When a business moves to us, we start with a free assessment: a 15-minute call, then a look at your systems, security and backups with your permission. You get a clear proposal with your exact monthly price. During onboarding, we document your setup, install monitoring and security, and take over from your current provider. Then your team just calls us when they need help.

Request a free IT assessment.

Here's exactly what happens when you request one:

  1. 1
A 15-minute call about your business and how your IT works today.
  2. 2
A review of your systems, security and backups, with your permission.
  3. 3
A short, plain-English summary of your biggest risks, what an auditor or insurer would flag, and where you may be overspending.

Free, with no obligation. After you submit the form, we call you back the same business day to set up the first call.
